How to receive data from a client using Shares (Inbound Link)
Audience: Site Admins, User Admins, Access Group Managers, end users with permission to create file-sharing links
Purpose: Create an inbound Share link so Guest Users can securely upload files into a specific folder/workspace
Prerequisites: Permission to create Shares; target folder/workspace selected in the UI; awareness of your site’s MFA/Guest User settings
You can use the Link-based file sharing system to generate a link that will allow clients to upload data to your site without the need for a user account.
To create an Share Inbound link do the following:
1. Navigate to the folder/workspace where you want client uploads from created link to land
2. Do not Select any files. Inbound links don't attach existing files.
3. Click the "Receive Files" button as seen here:
4. In the dialog, enter a Reference.

This is the name of the inbound link (used for identification in the Shares dashboard).
5. Choose a delivery method (same options as outbound):

Send it for me: Sharetru emails the link to the addresses you enter; each recipient gets a recipient-specific link.

I will send it myself: Sharetru generates a single link for you to copy/paste into your own email or message.

Advanced Settings (availability is admin-controlled)
Open Advanced Settings (if visible) to configure for Inbound Shares Links:

Expire after N days: How long the link remains valid.

Cap: 365 days (previously 90).

If a user enters >365, the system resets to 365 unless your admin has enabled Unlimited for inbound; in that case entering >365 automatically sets the link to Unlimited.

Usage limit: Maximum number of times the link can be used before it stops working.
Visibility rules:
-
If your admin has disabled both controls for end-users, the Advanced Settings dropdown will not appear.

If your admin allows only one control, only that one appears.

You can always see the applied values later in your Shares tab (days to expiry, remaining uses), even if you can’t edit them.
What your client (recipient) will see
System-sent links (recipient-specific):

Recipient clicks the email link and enters the same email address you invited.

They begin registration as a Guest User (first/last name, password) if they’re new.

They receive a 6-digit code to that email and enter it to verify the email address.

They enter their first name, last name, and password for their guest account.

If MFA is enabled for link-based sharing, they complete MFA:

Sharetru Federal: TOTP app only
-
Standard environments: TOTP app, Email, or SMS

They access the inbound page and upload files.
- If you share additional files to them through a link, they will not be required to re-register as a guest user unless they have been deleted.
Copied links (generic):
-
Recipients open the link and complete Guest User registration/MFA as required by your site’s policy before uploading.
Where the uploaded files go

A subfolder is created inside the folder/workspace where you generated the inbound link.

The client’s uploaded files are placed inside that subfolder.

Use the Shares dashboard kebab menu → Go to Folder to jump directly to the location if needed.
Tips & troubleshooting

Recipient says the link doesn’t work: Check if it’s expired or out of uses; extend or recreate as needed.

Email mismatch (system-sent): Ensure the recipient is using the exact email address you invited. If the email is incorrect, expire the link, and resend a new link to the correct recipient.

Account suspended/removed: If a Guest User was suspended they will not be able to login to view the link. They will need to be unsuspended by an administrator. If the guest user has been deleted (policy or admin action), they’ll need to re-register upon receiving a new link.

Compliance: All actions (creation, edits, usage, uploads, MFA context) are logged and can be viewed/exported in Logs; use Reporting → Share Links for a 90-day snapshot of link usage (last used time, link name, recipient name/email, and IP).
