Creating & Sending a Shares Link

Audience: Any user allowed to create Shares

Purpose: Walk through creating inbound or outbound links and delivery options

Prerequisites: Permission to create Shares; access to target items (for outbound); recipient emails (if system-sending)

Choose inbound vs. outbound

  • Outbound (send files out): Select one or more files/folders (up to 50 items), then click Send Files.

  • Inbound (receive files in): Do not select any items; click Receive Files to create a drop-off link to a target folder/workspace.

Delivery modes

  • Let the system send the link (recommended): Select "Send it for me" and enter recipient email addresses and send.

    • This method can be allowed or disallowed at the site level by a Site Administrator.

    • Usage is per recipient entered. A limit of 10 uses means each recipient can use their link up to 10 times.
      • Note: Each email address included will create an additional shares link in your Shares dashboard. Each link has its own token and management.
  • Send the link yourself: Select "I will send it myself" and Copy/paste the link into your own email or message.

    • This method can be allowed or disallowed at the site level by a Site Administrator.

    • Usage is per link (shared pool). A limit of 10 uses is shared among all clickers.

  • Reference (renamed from “Name”)
    • Give the link a Reference (the human-readable label for the Share).

Advanced Settings (moved to dropdown)

Open Advanced Settings to set:

  • Expire after N Days
    • Not date based
    • For an Inbound Share, if you select more than 180 days, it will automatically change the link to infinite days.
  • Usage limit (per recipient or per link, depending on delivery mode).

"Advanced Settings" availability & visibility

  • Admin-controlled: Your administrator can allow or disable these end-user controls.

    • If both Expire after N days and Usage limit are disabled for end-users, the Advanced Settings dropdown won’t appear at all.

    • If the admin allows only one of these settings, then only that one will appear under Advanced Settings.

  • Where users see the applied values: Even if you can’t change them, you can see how many days remain until expiry and how many uses remain for each Shares Link (both inbound and outbound) in your Shares tab for the folder you created the Share link from.

Expiry caps & Unlimited Shares (Inbound Exception)

  • The upper limit for “Expire after N days” is 365 days (previously 90 days).

  • If you enter >365, the system will:

    • For outbound links → revert to 365 days.

    • For inbound links → if the site administrator has enabled “unlimited” for inbound from the Shares section of Settings, the link will set to Unlimited automatically; otherwise will revert to 365 days.

Send & Confirmation

  • Hit "Send" or copy the link to your clipboard.

  • Check status in the Shares dashboard; use filters for Active, Expiring soon, Out of uses, etc.
